The SPACE job costing software is used for assessing the accumulated monies spent on a job, its phases or components during the process of its completion and defining any profit amounts that need to be associated with them. 
Users can create new jobs either from scratch or based on previous jobs or existing templates.  The user can see the present financial progress of the job including the budgeted cost and sales and the actual cost and sales, profit value and percentage at any time.

The user will be allowed to select existing jobs by the use of filters on fields within the Job table.  From the selected job the user will be able to display a screen of activity breakdowns associated with that job.  For each job one or more activity headings can be created with its budgeted cost and sales value and description.

Quotations are created based on the estimated sales values of the activity header lines.  Purchase orders can be generated whether activity lines have been set-up or not and can be e-mailed, printed or faxed as required.  These interactions can be recorded via the Navision® Relationship Management module.  The purchase journal provides an alternative way of entering purchase information and invoices can be created based either on journal entries or on an existing purchase order.

The Purchase Order Register allows the user to set-up records for a particular client or job to specify either a date up to which purchase orders can be created or an amount the cumulative order values cannot exceed.  This will link to the business alerts system established by the integration of Spindle Professional® and provide an e-mail alert if these rules are broken.

In addition a business alert can be sent to a specified user if the limits on the creation of purchase orders are likely to be breached in the near future.

A billable amount value will be maintained against the sales value of the activity lines.  The system will allow ‘up-front’ billing and have checks to ensure that the client is not invoiced more than once for the same activity.  Sales invoices can be created against the various activity lines with a warning if these exceed any previously generated quote.
Credit memos can be created against activity lines and will be taken into consideration when creating the sales invoice.  Job ledger entries can be directly posted and there are a number of reports giving details on billable amounts.

By integrating with the Navision® Relationship Management module the user can store communications with clients that are associated with particular jobs.  This means that the system can:
  • Create standard job documents in Microsoft® Word® (with merge field data)
  • Record all types of job related documents that have been received
  • Record job e-mails that are sent or received via Microsoft Outlook®
  • Record phone calls
  • Record certain sales and purchase actions such as printing purchase quotes, orders or invoices
  • View statistics on interactions associated with specific jobs
Time spend by staff on job activities can also be recorded.  This can be entered either by the individuals themselves or as batch data for a number of staff members.  There is also an internet link for remote access to this part of the system.  All timekeeping data must be approved by a manger prior to posting to the system.  A number of reports are available to provide data on the time spent on various jobs.

The activity header lines associated with the jobs are used to calculate the work in progress.  In addition a variety of reports (filtered on types such as job number, job category, customer and account manager) and Trendscape forms are available to provide ‘at-a-glance’ information on job progress.
